1. Who we are

COMOX AI (“we,” “us,” “our”) operates a managed real-world data collection service for AI and robotics. We collect, process, and deliver structured data on behalf of enterprise and research clients. This privacy policy describes how we handle personal data in connection with our website and our services. For privacy or data requests, contact us at comox.support@gmail.com.

2. Data we collect

Website and inquiries

When you use our website or submit a quote request, we may collect: name, email address, company name, data type and volume descriptions, and any message you send. We use this to respond to inquiries, provide quotes, and manage our business relationship with you.

Contributor sign-up

If you sign up to join our contributor network, we collect your name, email address, and location. We use this to onboard you, assign tasks, communicate about assignments, and process payments. We may also collect device or environment information when you perform capture tasks, as required by our clients’ data specifications.

Data collected in the course of our services

As part of our data collection services, we process real-world data (e.g. images, video, sensor data) that contributors capture under our protocols. We apply quality checks, compliance controls (including PII detection and removal where required), and metadata standardization before delivering datasets to clients. Our processing is governed by contracts with clients and by the instructions and consent we obtain from contributors and other data subjects.

3. How we use your data

We use personal data to: (a) provide and improve our website and services; (b) communicate with you about quotes, projects, and contributor work; (c) administer contributor accounts and payments; (d) comply with legal obligations and enforce our terms; and (e) protect the security and integrity of our systems and data. We do not sell your personal data. We may use aggregated or de-identified data for analytics and product improvement.

4. Legal basis (EEA/UK)

Where applicable law requires a legal basis: we process your data for the performance of a contract (e.g. when you sign up as a contributor or we provide services to your organization), for our legitimate interests (e.g. operating our business, security, fraud prevention), with your consent where we ask for it (e.g. marketing, optional fields), or to comply with legal obligations.

5. Sharing and disclosure

We may share personal data with: (a) service providers who assist us (e.g. hosting, email, payment processing, analytics), under contracts that restrict use to our instructions; (b) our clients, to the extent necessary to deliver the data and services they have contracted for (e.g. contributor identity or location where relevant to a project); and (c) authorities or others when required by law or to protect rights and safety. We do not sell or rent your personal data to third parties.

6. Retention

We retain personal data only as long as needed for the purposes above or as required by law. Quote and contact data may be kept for the duration of our business relationship and a reasonable period after. Contributor account and payment data are retained as needed for tax, legal, and operational purposes. Data we process on behalf of clients is retained according to our contracts and client instructions.

7. Security

We use technical and organizational measures to protect personal data against unauthorized access, loss, or misuse. These include access controls, encryption where appropriate, and training. No system is completely secure; we will notify you and relevant regulators of a breach where we are required to do so.

8. Your rights

Depending on where you live, you may have the right to: access your personal data; correct or update it; request deletion or restriction of processing; object to certain processing; data portability; and withdraw consent where processing is consent-based. In the EEA/UK you may also lodge a complaint with a supervisory authority. To exercise any of these rights, contact us at comox.support@gmail.com. We will respond within the timeframes required by applicable law.

California residents: we do not sell or share personal information for cross-context behavioral advertising as defined under the CCPA. You may have the right to know, delete, correct, and limit use/sale of your personal information, and to non-discrimination. Contact us at the email above to exercise these rights.

9. International transfers

We may transfer and process personal data in countries other than your own. Where we transfer data from the EEA, UK, or other restricted jurisdictions, we use appropriate safeguards (e.g. standard contractual clauses or other approved mechanisms) as required by law.

10. Cookies and similar technologies

Our website may use cookies and similar technologies for essential operation, security, and analytics. You can control cookies through your browser settings. Blocking certain cookies may affect site functionality.

11. Children

Our website and services are not directed at children under 16. We do not knowingly collect personal data from children. If you believe we have collected a child’s data, please contact us and we will delete it.

12. Changes

We may update this privacy policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may be communicated by email or a notice on our website where required by law.
